The Rain Plan: What to Do When Weather Threatens Your Kids’ Party

Every outdoor party we deliver to has one question hanging over it from the moment the invitations go out: what if it rains? After hundreds of backyard, park and pavilion setups across New Jersey, New York and Pennsylvania, we’ve learned that the parties that survive bad weather aren’t the lucky ones — they’re the ones with a rain plan decided in advance. Here is the one we recommend to every family.

Decide the decision day, not the decision

The mistake is waiting until the morning of the party to look at the sky. Pick a decision point now — we suggest 48 hours before the party for a full move, and 9 a.m. the day of for a smaller call like moving the tables under cover. Put that time on your calendar. When it arrives, you check the forecast and commit, and you stop thinking about it.

Read the forecast like a planner

Two numbers matter: the chance of rain during your actual party hours (not the whole day), and the wind. A 40% chance at 2 p.m. with light wind is a party that goes ahead with a canopy. Sustained wind over 15 mph is the real spoiler — it takes down balloon arches, blows plates and turns a tablecloth into a sail. Plan A, Plan B, Plan C

Plan C moves the party inside — the living room with the coffee table pushed out, a garage cleared and lit with string lights, a community room reserved as a backup. How the furniture adapts

This is the part families worry about most and it’s the easiest. Kid-height tables and chairs are small enough to move indoors in minutes, and a setup designed for the lawn fits almost any living room once you take the sofa cushions off the floor. Tell us the day before if you’re moving inside; we’ll adjust the layout on arrival, and our crew sets up wherever you point. If rain threatens the delivery window itself, we’ll coordinate a covered drop or an earlier setup so nothing is carried through a downpour.

Weather-proof the décor

Choose décor that works in either location. Fabric garlands and foam-board signs move; balloon arches don’t. Use chair sashes and bows rather than chair covers. Weight anything on a table — a centerpiece in a heavy vase, place cards tucked under a napkin. Keep the cake inside until the last minute regardless of forecast; heat is as dangerous to buttercream as rain.

What to tell your guests

Put one line on the invitation: “Rain or shine — we’ll be under the pavilion or in the living room.” Then, at your decision point, send a single group text with the plan. Guests don’t mind a change; they mind not knowing. If the party is moving indoors, mention it’s a shoes-off house, or that there’s a spot for wet umbrellas.

The heat plan is a rain plan too

July and August in our area bring the opposite problem. Above 88°F, plan shade over the entire table (not just the dessert), a water station that isn’t the juice table, and a shorter party — 90 minutes instead of two hours. Move the start earlier: 10 a.m. beats 2 p.m. every time in summer.
