The Delivery Access Checklist for Kids’ Party Rentals

The event address tells a delivery team where to drive. It does not tell them which entrance opens, whether a lift must be reserved or who can unlock the party room. A short access brief closes that gap. Make it before booking so your supplier can assess the route and confirm what is possible.

Walk the full route to the room

Start where a vehicle may legally stop and walk to the exact furniture location. Note changes of level, gates, stairs, narrow turns and uneven surfaces. Photograph important obstacles without including private access codes or unrelated people. If your venue has a preferred loading route, ask for it in writing rather than relying on the entrance guests usually use.

Measure the restrictive points

Record the clear usable opening of narrow doors and gates, plus any tight landing or turn. Measure the route with doors positioned as they can actually remain during delivery. Share the measurements with the rental provider and let them judge the furniture fit. Do not assume that removing legs, folding a table or carrying a piece sideways will be permitted.

Check building and elevator arrangements

Ask whether deliveries must use a service elevator, whether a reservation is required and who books it. Confirm any loading windows, protection requirements or paperwork the building expects. If a certificate of insurance is requested, pass the exact requirements to your supplier early; do not promise that a particular document or coverage is available on their behalf.

Choose the furniture location before arrival

Send a simple room sketch showing the children’s table, adult seating and the main walkways. A phone photo with a clearly described location can be enough for a small home celebration. Move household items out of the agreed area beforehand. Do not count on a rental crew to rearrange other furniture or complete decorative styling unless those services have been expressly arranged.

Name one on-site contact

Give the supplier a contact who can actually be present during the agreed delivery window and who knows the layout. Include that person’s phone number through the supplier’s normal booking channel, not in a publicly shared party document. If the host will be collecting a cake, arrange another responsible adult to receive the delivery.

Write pickup into the same brief

Access can be different after the party: a building desk may close, a gate may lock or the room hire may end that evening. Confirm the collection arrangements directly, including who will be present and where furniture should remain. Ask how pieces should be prepared and protected while awaiting collection. Never assume the delivery access booking also covers pickup.

Your six-line message

Keep the final brief short: event address and room; permitted unloading point; stairs, doors and measurements; venue access window; on-site contact; and confirmed collection arrangements. Attach only the photos that explain the route. If anything changes, send one clearly updated version so the team does not have to reconcile several conflicting messages.
